Online Transactions and Uploading


Upload your Approved or Refunded online transactions for the day.

If you have a large number of sales and refunds that pass through your system every day, you may choose to upload your online transactions as funds are "batched" in or out of your account at the end of the day. There are several options with this integration method that will allow you to control how sales are reported to your Affiliates.

Note: Some custom work is required for batch uploading. Please contact us for an estimate. We’ve found that we’re able to accommodate most bulk-upload requests within an hour of custom programming. Custom programming hours are billed at $195 per hour.

Option 1: Upload Online Transactions Only

At the end of the day, you can upload a "batch" file containing all "approved" sales for the day. Approved sales will automatically be added to the Affiliates' commission totals and will be added to their next check.

Your batch upload will need to contain the following fields:

  • Referring Affiliate ID number Order/Customer ID

Option 2: Real-Time Tracking of "Pending" Sales - Upload Confirmations

With this option, you can report "pending" sales to your Affiliates in Real-Time. This means that they'll see the sale in their stats as soon as it occurs. At the end of the day, you will upload all confirmed/approved sales. You'll also decide how long you'd like pending, un-confirmed sales to last before they are removed from the system.

To use this option:

A) Use the Shopping Cart/Receipt Page Integration Method listed here. Be sure to follow the instructions for adding a "Pending" sale.

B) At the end of the day, upload a "batch" file containing all confirmed sales. Your batch upload will need to contain the following fields:

  • Referring Affiliate ID number
  • Sale Amount
  • Order/Customer ID
  • Uploading this batch file will validate/approve the pending sales and add the commissions to the Affiliates' commissions.

The Order/Customer ID that is sent to MYAP from your shopping cart/reciept page must match the Order/Customer ID that is batch uploaded at the end of the day. This is the field that MYAP will use to match the sale from the upload file with the associated pending sale.

C) Email your technician and let them know how long you'd like pending, un-confirmed sales to remain in the system. You can leave pending sales in your system indefinitely - however this will make your reports very long and can become confusing to your Affiliates, making them wonder "why is that sale still pending?"

Tell your technician how many days you'd like the sales to remain pending before they are deleted from the system.

Option 3: Real-Time Tracking of Pending Sales - Upload Refunds/Chargebacks

With this option, you can report "pending" sales to your Affiliates in Real-Time. This means that they'll see the sale in their stats as soon as it occurs. At the end of the day, you will upload all refunded/chargedback sales. You'll also decide how long you'd like pending, non-refunded sales to last before they are confirmed.

To use this option:

A) Use the Shopping Cart/Receipt Page Integration Method listed here. Be sure to follow the instructions for adding a "Pending" sale.

B) At the end of the day, upload a "batch" file containing all charged-back or refunded sales. Your batch upload will need to contain the following fields:

  • Referring Affiliate ID number
  • Sale Amount
  • Order/Customer ID
  • Uploading this batch file will delete the appropriate pending sales from the system.

The Order/Customer ID that is sent to MYAP from your shopping cart/reciept page must match the Order/Customer ID that is batch uploaded at the end of the day. This is the field that MYAP will use to match the sale from the upload file with the associated pending sale.

C) Email your technician and let them know how long you'd like pending, non-refunded sales to remain in the system before they are confirmed/validated. This could be any number of days you feel appropriate. For example: if you have a 30 day money back guarantee, you may choose to have non-refunded sales confirmed after 31 days. This allows you to remove the sales that are refunded during that time and automatically confirm all that are not.

Option 4: Real-Time Tracking of Pending Sales - Upload Confirms and Refunds

With this option, you can report "pending" sales to your Affiliates in Real-Time. This means that they'll see the sale in their stats as soon as it occurs. At the end of the day, you will upload all confirmed and all refunded/chargedback sales.

To use this option:

A) Use the Shopping Cart/Receipt Page Integration Method listed here. Be sure to follow the instructions for adding a "Pending" sale.

B) At the end of the day, upload a "batch" file containing all confirmed sales and all charged-back or refunded sales. Your batch upload will need to contain the following fields:

  • Referring Affiliate ID number
  • Sale Amount
  • Order/Customer ID
  • Status (Approved, Refunded, Declined)
  • Uploading this batch file will approve or delete the appropriate pending sales from the system.

The Order/Customer ID that is sent to MYAP from your shopping cart/receipt page must match the Order/Customer ID that is batch uploaded at the end of the day. This is the field that MYAP will use to match the sale from the upload file with the associated pending sale.

Option 5: Real-Time Tracking of Confirmed Sale - Upload Declines/Chargebacks

If your ordering system is setup to validate charges online - you may want to report Confirmed Sales to your Affiliates. This will automatically add the commission to their record and make it available on their next check. However - what happens if the purchase is refunded or chargedback?

With this option, you can upload a file refunded or chargedback transactions each night. These transactions will be subtracted from the Affiliate's current balance (whether or not the commission on the sale has been paid out).

To use this option:

A) Use the Shopping Cart/Receipt Page Integration Method listed here. Be sure to follow the instructions for adding an "Approved" sale.

B) At the end of the day, upload a "batch" file containing all charged-back or refunded sales. Your batch upload will need to contain the following fields:

  • Referring Affiliate ID number
  • Sale Amount
  • Order/Customer ID
  • Uploading this batch file will delete the appropriate sales from the system.
